1. Who we are
Sentinel is a product of Booked Dent Ltd, a company registered in England & Wales (Company No. 17073892), with its registered office at 2 Wheeleys Road, Edgbaston, Birmingham, West Midlands, B15 2LD, United Kingdom. Sentinel serves elective clinics in the United States and the United Kingdom.
You can contact us about anything in this policy at hello@sentinel.clinic.
2. What this policy covers
This policy covers personal information we collect from visitors to this website — for example when you book a demo or leave your email address.
If you are a patient of a clinic that uses Sentinel: your clinic is the covered entity responsible for your health information, and Sentinel processes it only on the clinic's behalf as a business associate, under a Business Associate Agreement. If you want to exercise rights over your health information, contact your clinic directly — we will support them in responding.
3. The information we collect
| When | What we collect |
|---|---|
| You book a demo | Your name, email address, and any details you choose to share when scheduling (handled through our scheduling provider). |
| You leave your email via our request-access form | Your email address (delivered to us through our form provider). |
| You email or message us | Your contact details and the contents of your correspondence. |
| You browse the site | Standard technical data our hosting provider logs for security and performance — such as IP address, browser type, and pages requested. |
We do not collect health information through this website, and we ask that you don't include patient information in demo requests or emails.
4. How we use it
- Arranging and running your demo — responding to the request you initiated.
- Following up on your inquiry — corresponding with prospective customers. You can ask us to stop at any time.
- Keeping the website secure and working — protecting our services and yours.
- Meeting legal obligations — where we're required to keep records, for example for accounting.
We do not sell personal information, and we do not use your information for third-party advertising.
5. Who we share it with
We use a small number of service providers to run this website and our business — hosting, form delivery, scheduling, and email. They process information only on our instructions. A current list of service providers is available on request at hello@sentinel.clinic.
We may also share information where the law requires it, or in connection with a business sale or restructuring, in which case this policy will continue to apply to your information.
6. Where we process it
Sentinel is operated from the United Kingdom. Information you submit through this website may be processed in the United Kingdom and by service providers in other countries, in each case protected by appropriate contractual and technical safeguards.
7. How long we keep it
We keep inquiry and demo-request information for as long as we're in an active conversation with you, and for up to 24 months after our last contact so we can pick things up if you come back. Correspondence connected to a contract is kept for the life of that contract plus the period required by law. Technical logs are kept for short, rolling periods set by our hosting provider.
8. How we protect it
Information is encrypted in transit and at rest, access is role-based and limited to those who need it, and access and actions within the Sentinel product are logged. Our full security posture is summarized on the security section of our website.
9. Cookies
This website uses only the cookies and similar technologies that are strictly necessary for it to function. We do not currently use advertising or cross-site tracking cookies. If we add analytics in the future, we will update this policy and, where required, ask for your consent first.
10. Your privacy choices
You can ask us at any time to access the personal information we hold about you, to correct it, or to delete it, and you can opt out of any follow-up communication from us. To do any of these, email hello@sentinel.clinic — we'll respond promptly.
California residents: under the CCPA/CPRA you have the right to know what personal information we collect and how we use it (described in this policy), to access and delete it, to correct it, and to opt out of its sale or sharing. We do not sell or share personal information as those terms are defined in California law, and we do not discriminate against anyone for exercising their privacy rights. Residents of other states with comparable privacy laws may exercise equivalent rights through the same email address.
11. Changes to this policy
If we change this policy, we'll post the new version here and update the date at the top. Significant changes affecting how we use your information will be flagged more prominently.
