Sentinel is a product of Booked Dent Ltd, a company registered in England & Wales (Company No. 17073892), with its registered office at 2 Wheeleys Road, Edgbaston, Birmingham, West Midlands, B15 2LD, United Kingdom. For personal data collected through this website (sentinel.clinic), Booked Dent Ltd is the data controller.

2. What this policy covers

This policy covers personal data we collect from visitors to this website — for example when you book a demo or leave your email address.

If you are a patient of a dental practice that uses Sentinel: your practice is the data controller of your patient data, and Sentinel processes it only on the practice's documented instructions under a Data Processing Agreement. If you want to exercise your data-protection rights over patient data, contact your dental practice directly — we will support them in responding.

3. The data we collect

We do not collect special-category data through this website, and we ask that you don't include patient information in demo requests or emails.

4. How we use it, and our lawful bases

We do not sell personal data, and we do not use your data for third-party advertising.

5. Who we share it with

We use a small number of service providers to run this website and our business — hosting, form delivery, scheduling, and email. They process data only on our instructions. A current list of sub-processors is available on request at hello@sentinel.clinic.

We may also share data where the law requires it, or in connection with a business sale or restructuring, in which case this policy will continue to apply to your data.

6. International transfers

Where a service provider processes data outside the UK or EEA, we rely on an appropriate safeguard — such as a UK adequacy decision or the UK International Data Transfer Agreement / Addendum — to protect it.

7. How long we keep it

We keep enquiry and demo-request data for as long as we're in an active conversation with you, and for up to 24 months after our last contact so we can pick things up if you come back. Correspondence connected to a contract is kept for the life of that contract plus the period required by law. Technical logs are kept for short, rolling periods set by our hosting provider.

8. How we protect it

Data is encrypted in transit and at rest, access is role-based and limited to those who need it, and access and actions within the Sentinel product are logged. Our full security posture is summarised on the security section of our website.

9. Cookies

This website uses only the cookies and similar technologies that are strictly necessary for it to function. We do not currently use advertising or cross-site tracking cookies. If we add analytics in future, we will update this policy and, where required, ask for your consent first.

10. Your rights

Under UK GDPR you have the right to access your personal data, to have it corrected or erased, to restrict or object to our processing of it (including any direct marketing), and to data portability. To exercise any of these rights, email hello@sentinel.clinic — we'll respond within one month.

You also have the right to complain to the UK's supervisory authority, the Information Commissioner's Office, at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to resolve any concern with you directly first.

11. Changes to this policy

If we change this policy, we'll post the new version here and update the date at the top. Significant changes affecting how we use your data will be flagged more prominently.
